Resourcing
- Manage the recruitment process by creating and posting vacancy adverts.
- Assist managers with shortlisting, arranging interviews, sending acknowledgements and declines, where necessary.
- Process employment contracts and gather new starter information using our electronic signature and data capture process (DocuSign).
- Complete right to work checks using the Yoti portal.
- Set up Webbs colleague discount cards using our database (Dynamics 365).
- Add new starters to the time & attendance system (Mitrefinch) and H&S e-learning platform (Opus).
- Administer the probation process, by issuing review documents and reminders to managers, sending probation pass letters and escalating extensions to the Head of HR.
- Manage temporary worker bookings via agencies.
- Annual leave calculations for starters, leavers and zero hours workers.
- Produce secondment letters and contract revisions.
- Process resignations including drafting leavers letters, collating exit interview feedback and producing employment references.
- First point of contact for HR and recruitment process queries in person, by email and telephone.
- Attend disciplinary, grievance, appeal and other meetings for advice and as a notetaker.
- Review and update policies. Provide or arrange training as necessary.
- Provide support for TUPE, restructures and acquisitions.
- Prepare data for NMW, salary review, bonus and gender pay reporting purposes.
- Administer our private medical health insurance, group income protection and life assurance schemes.
- Organise long service award gifts and celebrations.
- Contribute to the organisation of colleague events including our annual awards ceremony.
- Coordinate the colleague survey, run feedback reports, set up interim pulse surveys.
- All HR reporting including monthly HR metrics for Board Report.
- Support community, environment and wellbeing activities.
- Contribute to ad-hoc HR projects and people plans.
- Book delegates onto training courses, manage training agreements in line with our Specialist Training Guarantee and keep training records up to date.
- Maintain and update our electronic HR data systems, ensuring GDPR compliance.
- Maternity and paternity administration.
- Coordinate work experience placements.
- Payroll administration as required.
- Provide employee reference letters to support mortgage/tenancy/citizenship applications.
This role will suit a positive people person who enjoys the challenge of a high volume, varied, generalist HR workload. A wider interest in HR is important to allow innovation and contribution to wider HR projects around resourcing, learning & development, employee engagement, wellbeing and digitalisation.
The ideal candidate will have a minimum of 3 years’ experience within a HR generalist role and have CIPD Level 5 or working towards.
Working hours are Monday to Friday, 39.5 hours per week. Core hours are 8.00 – 4:30 with a 30 minute lunch break each day and a 4:00pm finish on Fridays. Some flexibility can be agreed around these hours.
The role is based at our store in Wychbold and so you must live within a reasonable commuting distance. You may be required to travel to other stores in West Hagley, Cheltenham and Frilford.
